Title: 2010 Toy Run
Post by: specialk on November 19, 2010, 01:04:13 PM
This is going to be the official thread for 2010 Toy Run.  Let's try to keep it to the topic.

We are still finalizing the details and will have them posted here as soon as we get some definite answers.

What we need right now is a list of clubs and contact people who'd like to come out and be part of this.  I'm creating a poster and want to put the names of those clubs.  We also need the club names for the donation letter we are creating.  The poster and letter need to go out on Monday (Nov 22).

Club         Contact Person (info if not on our board)
FWS           Clay
CT4WDA      Tarzan
Hummer Club
Rigid Steele Offroad    AV.NINE

PM, email or post up if you are in another club or  know of another club.

Way to go guys and i am looking forward to the run (already have some toys collected).  The need to keep this going can be demonstrated by what happened to the Santa parade here in Calgary.  Three years ago they parade was cancelled due to constuction, the next year they had a party only and now nothing at all - very sad.

Poster is up!  all the info is here.

Date: dec12th 2pm - 5pm at Bowness Park.  we are donating to the Alberta Childrens Hospital 'Shared Christmas Program'

this program is designed to help out the many families in the hospital over the holidays tending to their sick children.  The program builds specialized 'hampers' for these familes with your donations.  The ACH is very excited to have us promoting this program and are looking forward to seeing a convoy of decorated vehicles!

poster is up below, and finally have the correct letter up.
contact Aaron (Apeman) or Kevin (special K) or me for more details, although I'm sure as soon as Aaron sees this he will update it much further :)

Do we have locations where the general public can drop off toys etc?

X92.9 says they will add it to a few of their news casts if we can supply information like that

msg spinalguy, he might have a location.
maybe phone modern and national too, they might accept them for us.

Post by: Spinalguy on November 25, 2010, 06:16:49 PM
Thanks Fiend.

i do have room to accept donations. It is a South location. Maybe we can have other locations as well?

i do have a question. As it is a 'hamper' for families, do we have an idea of what items would best suit the needs of the hamper?
Do they accept cash, cheque or credit/debit donations?

Thanks. You guys all rock (almost as much as that very cool poster 8)).

Post by: Knox on November 25, 2010, 09:18:41 PM
as for public donations do you think it would be possible to convince all the GMC/Jeep/... dealerships in town to host a box for us? if we could swing that it would make it very easy for anyone in Calgary who wants to donate something to do so. I mean don't get me wrong I have no issues sending people to spinalguys office and I'll do just that, but not everyone in the North will want to drive to Avenida.

Regarding those boxes myself and a few others could collect the items on Saturday or early Sunday and sort them into hampers if that makes sense?

I will visit them if needed, and ask them to host a box for 2 weeks. I mean I can't see them saying no honestly if it means potential customers right?
Title: Re: 2010 Toy Run
Post by: JackstandJohnny on November 25, 2010, 09:51:55 PM
yup.  the plan is to go out and ask a few of those places to accept donations.  I will drop by modern and ask if they will accept donations. i'm sure they will.

i can also call our contact at ACH (his name is Lorne) and ask for a super specific list of things as well.

Dealerships would be a great idea.
When you guys decide, i could ask Tower as the South location instead of my office.
Anyways, whatever works for you guys.

Also Herbal magic locations around town are accepting donations on our behalf
..posters and boxes will be in stores this weekend.
Title: Re: 2010 Toy Run
Post by: Knox on November 26, 2010, 07:47:07 AM
ok so between Herbal magic locations and the dealerships that should give us a really good coverage of the city.

Everyone adopt a dealership? You'll be responsible to talking to them, convincing them to accept donations on our behalf, and picking up the donations on the 11th or 12th. (work that out with them)
I think it's better to do it this way as opposed to a free for all, as we don't need 9 people all asking the same dealership to host a box. If you know people/work there whatever post up and that location is all yours, I'll handle any left overs.

If they do say no even after a bit of convincing, leave it at that, don't bad mouth them here or anything like that, that's not what this is about. :)

Also, Apeman, are we supplying boxes as well?, like a gift wrapped open cardboard box or something?

Lets aim to get this all worked out by Monday, I know there are open runs this weekend, but try to get it looked after today, or the day you aren't going on the run.

Edit: Let me know if I missed one of the dealerships or if you come up with another location.
Edit2: removed dealerships as possible locations unless I hear differently

I may have missed this but...
How do we get copies of the poster? I need two as I'm hitting up the Blind Monk pub in Royal Oak and downtown. Also is there an updated 'wish list' or is someone working on this with the hospital?

if you can't wait, save the poster on cd or memory stick and take it to staples to print a few off.
someone said they were going to try and contact the hospital for an updated list.

From the ACH :

some of the things that we tend to be short on at Christmas are the teenage gifts or toys. A lot of times those are the kids that get forgotten about when people donate to the Childrens Hospital. If you wanted to purchase some things for the teenage group some ideas are:

Movies/Movie Passes
Music CD's
Inexpensive MP3 Player's
System Games (xbox, Wii, etc)
Gift cards to Clothing stores(Urban Planet, Gap, Lasenza etc)
Small hand held games
Board Games
PJ's
Cosmetics
Ball Caps/Purses/Accessories
Novels, Books

We are also in need of food gift card to add to the hampers. Superstore, Safeway, Coop, Sobeys etc.

Anything you and your group are able provide will be greatly appreciated.

Hope this helps, and thank you for your support!

I need to check with corporate relations people, but I am going to see if I can get some/all of the Best Buy or Future Shop stores involved.  No promises as there is a lot of red tape with promotional stuff for us, but I figure it can't hurt to ask.

At the very least I might be able to get some of the individual stores to contribute.

I've got a couple of stores that are willing to pitch in some stuff.  Also the Northland Mall Best Buy said they would put a donation bin at the front of the store.  Let me know what needs to go in and I will get it setup.

The dealerships have an association that runs it's own charity collection but not all dealers are part of it.  I will try and get a box at my work, I had one when I was at Stampede for several years and they would top it up if customers did not donate alot.  Way to go CJA and everyone who is stepping up.  I was afraid this was going to become like the Chritmas Parade which Calgary no longer has (we are the only major city in Canada without one).
Title: Re: 2010 Toy Run
Post by: tarzan on November 27, 2010, 01:21:32 PM
I hope this is ok but I am going to create a thread for the poster only.  I am posting a link to the event in facebook as the image is not big enough to read detail and I can link it to here.  The folks I know on facebook are not wheelers but do own 4x's and might come out and support the run.

I really want to participate in the Toy Run...however I am not a member also I have tried unsuccessfully to get donations (other then mine). Can I still participate?
It is open to EVERYONE!!!
Just bring your own donation to Bowness Park.

PS. i have not had a chance to get by Tower Chrysler. Do we have boxes that are decorated or is this something i need to provide Tower with?
Do we have posters available or do i just print the poster off of here in standard letter size?

As this was a last minute decision to get involved in putting the Toy Run on, we are left with very little time to organize Dealerships to get on board.
Has anyone else got a Dealership involved yet? How did you do it? Did you supply boxes, posters etc.
Please let me know.
i can certainly put up some posters at Tower but i think a donation box may be too late and organizing it may seem a bit unrealistic with the timeline.
Any help is appreciated.

Johnny were you able to get a bin at Modern and/or National to put in Bins to accept donations for us?

Apeman can you confirm that there are bins at all the Herbal Magics or some specific Herbal Magics. If so which ones?

AstraX can you confirm the Northland Mall Best Buy does have a box now? Any others?

Candice on the morning show on X929 will be mentioning the Toy Run on a few of her news casts all next week.
And the Out there Events page will have a write up about it once I send Ginette the list of locations the public can donate if they want.

Spinalguy do you want your clinic included? If so can you give me the name? I have a left over poster I can drop off some day if you'd like as well.

The donation bin at Best Buy is going to be on the floor today.  The store manager has also agreed to do a "jean's weekend" for the staff, so if they donate a toy they get to wear jeans at work this coming weekend.

I have also gotten a couple other stores to donate some items, and I'm working on some of the others.

nhl games etc.  ones that don't require subscriptions?

$50 ipod shuffles, itunes music gift cards if they have them....

whatever, i'm just guessing.  a trip to walmart electronics center won't take long to spend.

This is what happens when I read things late in the day.  'System Games (xbox, Wii, etc)' is not the same as 'Gaming Systems'

UPDATE FOR TAX PUPROSES

for those of you accepting donations, or are asking companies to accept donations (like Modern, Toms/Spinalguy, etc)  i've attached the donation from the ACH for tax reciepts. obviously if you're donating at the actual event we can take down the info there too, but if someone wants reciepts this is how to get them from the ACH.

also, if you are accepting cheque donations, they can be made out to the Alberta Childrens Hospital, and in the memo part put 'Shared christmas'

cheers

Just one question.  Are we restricted on the color of lights we decorate our Jeep with?  I've got some multi color and red ones.

I was wondering if there is a need for batteries.  Does anyone know that off hand?  If not can someone check with the hospital?

I still have to grab a couple of donations from some of the Best Buy and Future Shop stores themselves and I was thinking if batteries are in need I could have them make that as their donation (depending on how many they would need).

Those would probably be a great idea, mostly AA and AAA for the games.

Are we suppose to dress up our jeeps prior to getting to the park or is that something that is being done down there?  Sorry, haven't been part of this before so I'm just not sure what the order of business is.
